How to Use FMCSA Data for Sales Prospecting

Trucking is one of the few industries where the federal government publishes a detailed, continuously updated record of nearly every company in the market. The FMCSA maintains registration, operating authority, insurance, and safety data on hundreds of thousands of active motor carriers — all public. If your customers are trucking companies, this is the richest free prospecting database you will ever get.

Most sales teams barely scratch it. Here's what's in there and how each seller uses it.

The four public layers

  1. Registration (census) data. Every DOT number, with company name, address, fleet size (power units), driver count, and cargo types carried — from the carrier's own MCS-150 filings. This is your territory map: every fleet, sized and located.
  2. Operating authority. Who holds active for-hire authority, when it was granted, and its status. Authority records are what separate true for-hire carriers from private fleets — the first segmentation any trucking seller should make.
  3. Insurance filings. Every for-hire carrier's BIPD filing: current insurer, coverage amount, effective date, and pending cancellations. From effective dates you can estimate renewal X-dates across an entire territory.
  4. Safety data. Inspection results, out-of-service rates, crash records, and safety ratings. Compliance pain is visible from the outside — and compliance pain is a buying trigger.

Individual lookups run through FMCSA's public search tools (SAFER and the agency's registration system); bulk datasets live on data.transportation.gov.

The 2026 MOTUS transition — check where your data comes from

In 2026 the FMCSA moved carrier registration to its new MOTUS system and froze the legacy registration datasets in May 2026 — they no longer receive updates. What each seller does with it
